To provide the Platform, we collect information your Society or its authorized users enter, including committee and staff contact details, resident and flat records, visitor logs, dues and payment records, notices, and documents. We also collect basic account and usage information such as login activity and support requests.

2. How We Use It

We use collected information to operate and improve the Platform, provide the modules your Society has activated, respond to support requests, send service-related communication, and meet legal or compliance obligations.

3. Data Ownership & Sharing

Your Society owns the operational data it enters into the Platform. We do not sell resident, dues, visitor, or staff data, and we do not share it with third parties except: (a) service providers who help us operate the Platform (e.g. hosting, payments, communications) under confidentiality obligations, (b) when required by law, or (c) with your Society's explicit instruction.

4. Access Within Your Society

Access to your Society's data is controlled by the roles and permissions your committee assigns. We do not grant access to another society's data, and internal RWAHub access is limited to what is needed for support and platform operation.

5. Data Retention

We retain Society data for as long as your account is active, and for a reasonable period after termination for legal, audit, or dispute-resolution purposes, after which it is deleted or anonymized in line with applicable law.

6. Security

We use reasonable technical and organizational measures to protect data against unauthorized access, loss, or misuse. No system is completely secure, and we encourage Societies to manage user access responsibly on their end.

7. Your Rights

Depending on applicable law, individuals whose data is processed through the Platform may have rights to access, correct, or request deletion of their personal data. Such requests should be directed to your Society's office, which controls the underlying records, or to us at the contact below if it concerns your account directly.

8. Cookies & Analytics

We may use essential cookies and basic analytics to keep the Platform functioning and to understand usage patterns, without selling this information to third parties.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Platform or by email where appropriate.
